Beating the Heatwave: Commercial Office Ventilation and How to Keep Your Building Cool

UK summers are getting hotter. The Met Office confirmed that the 40 degree threshold was breached for the first time in July 2022, and recent years have brought repeated amber and red heat health alerts. For commercial offices, that has turned summer heatwaves from an occasional nuisance into a serious operational issue. Stuffy meeting rooms, sticky open plan floors, complaints from staff and equipment that struggles in the heat all dent productivity, comfort and energy budgets. The good news is that the right ventilation strategy, supported by modern, well maintained plant, can keep an office cool even on the hottest day. Why UK offices are feeling the heat

Three trends are colliding: a warming climate, ageing building stock and ventilation systems specified for a milder past. The Met Office expects 40 degree summers to become significantly more common over the coming decades. Many UK offices were built or last refurbished when summer cooling was treated as optional. As a result, ventilation that copes most of the year now struggles in a heatwave. Staff complain, productivity falls and emergency call outs cost far more than a planned upgrade.

The legal and design picture

The Health and Safety Executive sets no fixed upper limit for workplace temperature, but employers must keep working conditions reasonable under the Workplace (Health, Safety and Welfare) Regulations. For non domestic buildings, CIBSE TM52 sets out the criteria used to assess overheating risk in offices and similar spaces. Newer projects also have to meet the energy efficiency standards of Approved Document L. Together these point in one direction: offices need to be designed and managed to stay comfortable in a hotter climate.

How ventilation keeps an office cool

Air conditioning is not the only answer, and it is rarely the right answer on its own. Effective cooling in a commercial office relies on a few things working together. Bringing in enough fresh outside air, especially in the cooler early morning, to remove built up heat. Distributing air evenly so there are no hot spots. Removing heat at source from server rooms and busy meeting spaces. And using cooling coils, controls and heat recovery efficiently rather than running everything flat out. An ageing air handling unit cannot do any of this well.

Upgrades that pay off in a heatwave

A planned upgrade is far cheaper than an emergency response when the next heatwave arrives. The most effective measures include:

• Refurbishing the existing air handling unit to restore proper airflow, replace tired components and seal up leaks
• Renewing or upgrading heating and cooling coils for greater capacity and better efficiency
• Fitting high efficiency EC plug fans, which move more air, more quietly, for less power
• Modernising AHU controls so the system reacts to actual conditions, including night time pre cooling and demand based ventilation
• Adding or improving heat recovery, which works as hard in summer to reject heat as it does in winter to reclaim it

Together these typically cost around 40 per cent of a full AHU replacement and can be carried out with minimal disruption to the office.

Do not wait for the next heatwave

The worst time to discover that your office HVAC cannot cope is in the middle of a 35 degree week. A short ventilation survey in the spring will identify the weak points: undersized cooling, leaking ductwork, worn fans, outdated controls or coils that need replacing. With a costed report in hand, you can plan upgrades in the milder months and have a cooler, more comfortable building by summer.
